Overview: We are looking for a passionate and motivated -Senior
Account Coordinator. This role requires time management, attention
to detail, and the ability to work independently in a fast-paced,
deadline-oriented environment. In this role, you will be expected
to manage multiple HR processes with a focus on problem diagnosis,
resolution, and compliance. This role will also be responsible for
cultivating relationships with key contacts at the client site to
ensure exceptional customer service. The role consists of 100%
account administration. Here is what you should know if you want to
join our team. Responsibilities of the Senior Account
Coordinator:
- Develop strong, cross-functional Atrium and client
relationships and maintain communication with managers and
associates.
- Partner with Managers to review, -and -prioritize expectations
and -gather all -engagement details.
- Facilitate associate onboarding activities including required
federal/state-mandated documents, client-specific documents,
pre-employment screenings, and other onboarding tasks as
needed.
- Execute daily follow-ups -to clients and associates.
- Enter/update associate -information -into -Atrium's -HRIS and
timekeeping -systems.
- Create Excel and/or Google spreadsheets to organize and track
data.
- Issue weekly payroll audits -and make -payroll
adjustments.
- Adhere -to -state-specific payroll laws and I-9 classifications
that impact the payroll process and remain up-to-date with -changes
to HR and payroll compliance through satisfying learning and
development assignments as issued.
- Manage the end-to-end weekly payroll cycle for all Associates
including sending weekly timesheet reminders, expense
audits/processing, and managing the payroll upload including late
approvals and all timesheets from time entry systems.
- Review and validate timesheet upload for accuracy before
sending the file to Payroll.
- Partner with the -internal Payroll Team to address any payroll
errors quickly and accurately before processing which includes
reviewing the error log, performing a mark-up check, and processing
any adjustments.
- Interface closely with the -Atrium Payroll department to ensure
all jobs are coded correctly -and -hours are paid/billed
correctly.
- Proactively diagnose/resolve escalated client concerns
promptly, together with leadership as needed.
- Perform associate terminations and offboarding adding all notes
to the tracker, and -payroll system and notifying management/HR
where necessary.
- Assist with ad hoc projects, -as needed.
- Model the highest levels of professionalism and deliver 'white
glove' service to support clients and candidates.
- Promote program adoption, compliance, communications,
onboarding, and other operations.
- Respond to manager and associate inquiries in an efficient and
timely manner.
- Attend regular status meetings with both the -internal Atrium
team and the -client to drive program goals and requirements.
- Other projects and tasks as directed by your Manager.
Qualifications for the Senior Account Coordinator:
- Experience: 3+ years of work experience in an administrative or
customer service role.
- Communication: can clearly articulate how to complete
onboarding tasks and can effectively liaise with managers and
associates.
- Empathy: understand how difficult the onboarding process can be
and step into the associates' shoes and show you care.
- Curiosity: understand the client/associate with effective
questioning and listening. You are genuinely interested in
helping.
- Teacher: loves sharing insight and knowledge and is patient and
thoughtful when educating.
